MINUTES OF THE PARKWOOD RESIDENTS' ASSOCIATION COMMITTEE MEETING HELD ON MONDAY 12 MAY 2025 IN THE TRUST OFFICE CENTRE Present : Martin Denley, Kathy McLauchlan, Sue Tims, Sue Legat, Gerhard Ammermann, Jan Jobson, Ann Verboeket, Marilyn McDonald, Judith Nathan, Andrew McEwen Apologies - Alan Woodward In Attendance : Stephen Lyons, Marie Simpson, Tony Vassiliou MINUTES OF THE APRIL MEETING : Passed MATTERS ARISING • AGM arrangements : The first set of documents have been circulated. Interest Groups have been asked to send annual reports to the secretary by 27th May. Residents need to give notice of any motions for the AGM. These have to be lodged by 2nd June. Nominations must be in by the 2nd June - we need more nominations. • Annual Fair : 13 th September subject to Peter(s) having collected enough items. • Emergency radios : Martin has bought 6 more handheld radios. He managed to purchase them at $60 less than was allocated. • Parkwood News software : we are able to purchase Publisher as a stand alone item. Continued later in minutes. • Parklands Centre cupboards : Kathy reported that she was ill on the day she had arranged with Sue Tims so it was not done. Will reschedule.
FINANCIAL AND LIBRARY REPORTS • Reports : These have been circulated. The oxygenators have been paid for & money has been given to the Art group. • Applications for Funding : there have been no new applications. A question was asked about funding the library - the lodge library is included in the library funding. There is a problem finding large print books to buy.
TRUSTEES REPORT There are 2 new members of the trust board - Jan Jobson and Richard Field. There is progress on the old office area with possibly 8 villas being developed there. There are ongoing problems with the trees currently on site. A temporary Medical centre in the old office will not happen due to a lack of registered patients. LODGE REPORT. Alan Woodward : The lodge is now able to view tv presentation from National Theatre London. We have enjoyed 2 choirs. We have a new piano. The craft group has been busy.
RESIDENTS’ COUNCIL REPORT Andrew McEwen : Andrew reported the Council had recently had an all day in person meeting in Wellington. This included a discussion with the CEO of Summerset and another with the CEO of the Retirement Villages Association. Both presentations covered aspects of the aged care sector and the transfer from retirement villages to care. In other matters the Council discussed ways to get more feedback from residents.
GENERAL BUSINESS • Emergency Management (Ann) : the time line is taking effect with exercises occurring in Parklands. Rene is in constant communication. They are currently working on a kit for new sector leaders. • Roster for Saturday morning tea notices and monthly dinner. 24 th May - Judith, 31st May - Kathy, 7th June - Marilyn, 14th June - Martin, 21st June - not allocated, 28th June - Marilyn,
GENERAL MANAGER’S REPORT • Stephen reported that the Statuary Supervisor would travel some distance to attend the 25 th June meeting.The recent audit had gone well and certification has been renewed for a further 3 years. The insurance has been dealt with It was not as high as expected. It has to cover the replacement cost of the villas.The village assets were valued at $186 million. The insurance policy was explained. Rebuilding - the consents are at the council. 13 Grace Ave will be rebuilt first. It has been decided to demolish 16 Wren St because of subsidence. The next steps for the final design at the old office site are nearly ready for sharing. If sufficient people enrolled in the medical centre we would be able to have a clinic here. At present the numbers are not high enough. Tony continued the report - all bar 1 of the current unoccupied villas have a name beside them. There will be 4 settlements this month. This week is road safety week and staff will be out to inform the road users of the 15k speed limit and to ask the drivers to ensure they abide by the road rules. The swimming pool is up & running again after a heat pump switch failed. Marilyn said there was also a problem with a stopcock & this will be repaired. The Lodge roof is progressing well. Next to be upgraded is the entrance. At the last AGM some residents wanted Stephen’s report in advance. He does not want to do that as he wishes to speak to it at the time, and the committee supported this.

SUE TIMS, KATHY McLAUCHLAN - NEW RESIDENTS Sue welcomed 2 new residents. Kathy had none.
ANY OTHER BUSINESS - Marilyn tabled a paper on defibrillators. She is continuing to make inquiries about the location & training residents to use the defibrillators. However, the issue is to be discussed with the village care team, and brought up again at our next committee meeting when their views are known.
